Nobody is sure who still needs maths
Some of your apprentices already hold the qualifications they need, but their certificates are not on file. Some need English, maths or both, and are working with your functional skills tutor. Some sat an exam last month and are waiting for results. A few failed and need a resit, and one is booked into a session they cannot attend because of a shift change.
The functional skills tutor keeps a spreadsheet. The coaches keep their own notes. The exam officer books sittings through the awarding body's portal. When a learner is close to gateway, the coach discovers the maths result was never recorded, or that the learner never booked the resit.
Why this gets muddled

The programme may need extending, and the employer has to release them for more sessions. Tutors end up running rushed classes for learners who could have been ready months earlier.
What each learner needs depends on the standard and the rules that apply, and your team makes that judgement. We make sure that once it is made, the learner's path to meeting it is tracked from start to result.
One record per learner, from requirement to result
- At enrolment, each learner gets an English and maths record, with the requirement your team sets and any evidence uploaded and checked.
- Missing evidence has its own reminder cycle to the learner, and stops being chased once a person verifies it.
- Learners who need to study are grouped by level and availability, and their session attendance is recorded against the record.
- Exam bookings are entered once by the exam officer, with reminders to the learner and line manager before the sitting.
- Results are recorded as they arrive, either from the awarding body's export or entered from the results notice, and a fail creates a resit task.
- Coaches and the gateway tracker read the status directly, so a missing result shows well before gateway.

Clarity for tutors and coaches
Your functional skills tutor opens the list and sees their learners grouped by where they are. Two need booking for the next sitting, three are waiting for results, one has missed three sessions because of shifts, so the tutor talks to the coach about a different time.
Coaches see English and maths status beside every other measure on their caseload. Managers can see across the provision how many learners still need to meet the requirement and how close each one is to their planned end date.
