They passed. Now what?
An apprentice passes their end-point assessment. The assessment organisation emails the result to your EPA coordinator. The coach is delighted and tells the learner and employer. And then things slow down.
The MIS still shows the learner as in learning. The e-portfolio is open. Finance may have a final invoice to raise to the employer. The certificate process needs following up, and the learner asks a month later where their certificate is. The file needs its completion records. Each of these is somebody's job, but no one is told it is time to do it, so some happen within the week and some happen months later when a report catches them.
Where completions stall
- The result arrives with one person, by email.
- Closing a learner involves the coach, the data team, finance and whoever handles certificates.
- Nothing triggers each person's task.
- The certificate process sits outside your systems, so its status is unknown.
- The employer is told informally, and the conversation about their next apprentice never happens.
What slow completions cost
Your data shows learners in learning who have finished, which makes your figures less reliable and may affect your returns. Final invoices are raised late. Learners who have to chase for their certificate end on a sour note after a good programme. And the moment an employer is happiest, straight after their apprentice passes, is when they are most open to taking another; if nobody calls, the chance is missed.

The completion workflow
- When the EPA result is recorded in your EPA tracker, or read from the assessment organisation's email and confirmed by a person, the completion workflow starts.
- Tasks are created with owners: MIS update, e-portfolio closure, final invoice check, certificate follow-up, file completion check.
- The learner and employer get a message of congratulations with the grade and what happens next about the certificate.
- The certificate is tracked from request to receipt, with a reminder to your team if it has not arrived after a period you set, and a message to the learner when it is sent.
- The account manager gets a prompt to contact the employer about further apprentices or progression for the learner.
- The learner file is checked against your completion list and marked closed when everything is in.

A clean finish for every learner
The day the result is confirmed, the learner gets their congratulations and knows what to expect. Tasks appear on each owner's list. Within the week the MIS is updated, the e-portfolio closed, the final invoice checked. The certificate follows, and the learner is told when it is on its way.
Your completions admin works from one list instead of an inbox. Every learner who has passed but not yet received their certificate is there, with how long it has been, and a reminder appears on the ones that have been waiting longer than your usual time. When a learner phones to ask, the answer takes seconds.
The account manager calls the employer while the good news is fresh. Managers see how many completions are still open and which step each is waiting on, so nothing lingers for months.
