Your coaches are experienced people from the sectors they now teach. They hold assessor qualifications, sector qualifications and years of practical experience, and they keep up to date through events, placements, reading and short courses. Each of them records this differently. One keeps a tidy spreadsheet. One has certificates in a drawer. One keeps it all in their head.
When your quality team is asked to show that the people delivering a standard are occupationally competent and current, someone spends days collecting CVs, certificates and CPD logs, and finds that the log for one coach stops two years ago and another coach's assessor qualification is not on file at all.

Staff records that look after themselves
Coaches log a CPD activity the day they do it, in a minute. Their manager sees the log grow and can talk about it at one-to-ones. When a new standard is introduced, the quality team sees which coaches meet its expectations and which would need development before being allocated.
Recruitment gets easier as well. When you are hiring a coach for a new standard, the expectations your quality team set tell you what to look for, and the new starter's record is built from their application and certificates on day one rather than pieced together a year later. When someone leaves, their record stays as evidence of who delivered what, and when, with the qualifications they held at the time.
