A good consultation that goes nowhere
A new client comes in for a consultation about their skin. The practitioner spends half an hour with them, suggests a course of skin boosters and a peel, explains the options and gives prices verbally. The client says they will think about it.
They go home, talk to their partner, and cannot remember how many sessions were suggested or what the total was. They look at another clinic's website. A fortnight later you have heard nothing, and nobody has followed up because nobody wrote anything down.
Why consultations leak
The consultation is where a clinic invests the most time per client, and where the least is recorded in a form the client can take away.
- Plans and prices explained verbally, not written down.
- Practitioners too busy to write a follow-up email after each consultation.
- No record of what was recommended, so follow-up calls start from scratch.
- Clients comparing clinics with nothing concrete from yours.
- Cooling-off periods your clinic uses for some treatments not built into booking.
Many clinics ask clients to take time between consultation and certain treatments. How long, and for which treatments, is for your practitioners and policy. A written plan makes that time more useful to the client.
What unwritten plans cost
| Problem | Effect |
|---|---|
| Client forgets the plan | Decision delayed or lost |
| Price remembered wrongly | Surprise or disagreement at booking |
| No follow-up | Consultation time with nothing to show for it |
| No record of recommendations | Inconsistent advice if the client returns |
| Cooling-off not managed | Treatments booked same day when your policy says otherwise |
A consultation often represents half an hour of skilled time. Letting it end with only a verbal summary wastes most of it.
Written plans and quotes, same day
- A consultation template in your clinic software for recording recommended treatments, number of sessions and notes the client should see.
- Prices filled in automatically from your treatment list, including any course pricing, so the quote matches what reception will charge.
- A clear, branded plan sent to the client by email the same day: what was recommended, why in plain words written by the practitioner, what it costs, and how to book.
- Cooling-off rules applied per treatment: the booking link only offers dates after the interval your policy sets.
- A follow-up at a time you choose if the client has not booked, and a note for reception to call if you want a personal touch.
- The plan saved to the client's record, so any practitioner can see what was recommended at the next visit.
The plan is written by the practitioner. We make it quick to produce and consistent in format; we do not generate clinical recommendations.
What changes after consultations
Clients leave with a clear written plan in their inbox by evening. They can share it, think about it, and book when ready, after any cooling-off time. You follow up the ones who go quiet, with the plan in front of you.
Consultation time starts turning into treatment bookings more reliably, and clients arrive for treatment knowing exactly what to expect.
Price disagreements at the desk fade away too. The client has the figure in writing, reception charges from the same list, and if anything changes between plan and treatment, the practitioner can see what was quoted and explain the difference.
Your clinic, honestly
- Consultation prices are given verbally.
- Clients leave to think about it and do not come back.
- Nobody follows up after consultations.
- You cannot see what a previous practitioner recommended.
- Cooling-off periods are not built into booking.
