A client in the chair with no patch test
A new client books laser hair removal online for Saturday morning. They arrive, fill in their forms, and the practitioner checks the record: no patch test. Your clinic policy requires one before the first laser treatment. The client did not know, the booking system did not ask, and now the slot is lost and the client is annoyed.
The same thing happens with chemical peels and some skin treatments. Each time, the practitioner has to explain, the client has to come back, and the Saturday slot sits empty.
Why patch tests get skipped
The patch test is a short, separate appointment that must happen before the treatment, often at a set interval. Most booking systems treat it as just another service.
- Online booking offers the treatment directly to new clients.
- Patch tests are not linked to the treatment they are for.
- The interval between test and treatment is not enforced.
- Results are noted on paper or in free text.
- Returning clients may need a new test after a gap, depending on your policy.
Which treatments need a patch test, and when, is for your practitioners and your policy to decide. The system just needs to follow it.
What missed patch tests cost
| Problem | Effect |
|---|---|
| Treatment slot lost on the day | Empty prime-time appointment |
| Frustrated new client | A bad first impression and possibly a lost client |
| Pressure to skip the test | Practitioners put in an awkward position |
| Results not recorded properly | Unclear evidence that the test was done |
| Returning clients not retested | Policy applied inconsistently |
Booking rules that put the test first
- Treatments that need a patch test are flagged in your booking setup, with the interval your practitioners set.
- New clients booking one of those treatments online are asked to book the patch test first, and are then offered treatment slots only after the interval.
- Phone and reception bookings show a warning if there is no valid patch test on file.
- The patch test result is recorded as a structured entry, with date and practitioner, not free text.
- Returning clients whose test is older than your policy allows are prompted to book a new one.
- Reception sees a daily list of upcoming treatments with no valid test, so they can contact the client before the day.
Patch tests can often be done as short slots between other appointments. We can make them bookable in gaps without taking prime treatment time.
Where your clinic software supports prerequisite services, we configure that. Where it does not, we add a small rules layer in front of online booking.
A Saturday that goes to plan
Clients know from the start that a patch test comes first. It is booked and recorded before the treatment, and the treatment slot is only offered when the timing is right. Practitioners no longer have to refuse a treatment in the chair.
The patch test record is clear and consistent, whichever practitioner did it.
Reception gets fewer difficult conversations as well. Instead of explaining the policy to a disappointed client who has taken a morning off work, they explain it once, at the moment of booking, when it is just part of how the clinic works.
